How do you replace an unsupported financial and accounting system with a modern Microsoft Dynamics 365 platform while maintaining business continuity for a medical diagnostics organization?
How do you combine group standards with local tax, financial, and operational requirements?
And finally, how do you decide which needs are critical for the go-live date and which can be safely deferred to later stages of system development?
These were the challenges faced by the teams at Synevo, Medicover, and Retcon.
For one of the largest diagnostic laboratory networks, this change was vital for both daily operations and future growth. The previous environment was characterized by fragmented processes, a high volume of manual tasks, and limited reporting automation. Furthermore, the SUN Systems 4.2.6 platform was no longer supported. As the organization grew, it needed a solution that would organize its finances, integrate them with the existing system landscape, and allow processes to be developed according to unified standards.
The new environment was integrated with source systems, including those for sales invoicing, as well as banking and reporting solutions. Automation was applied to financial data processing, taking over tasks that were previously performed manually.
Integrations support the flow of data between sales, billing, and reporting, reducing the need for manual intervention in these operations.
Microsoft Dynamics 365 Finance now covers the general ledger, accounts receivable, accounts payable, fixed assets, banking, payments, taxes, and collections. Combining these areas into a single environment has streamlined the management of key financial processes.
The implementation was supplemented with dedicated financial and operational reports, as well as customized printouts and documents. Teams gained access to information in a format that meets their specific needs. This expanded reporting capabilities and aligned process management with the realities of Synevo.
The solution was built upon the Medicover Group Core Model, a shared framework for financial processes. The teams from Synevo, Medicover, and Retcon combined this with local requirements regarding taxes, VAT, JPK (Standard Audit File), and the organization's operational methods.
Synevo gained unified financial management principles and a clearly defined scope for local extensions. This structure provides a reference point for future changes: it is clear which needs are covered by the standard, where customizations are required, and how to develop the solution within the group model. This is a crucial foundation for standardizing and scaling processes as the organization grows.
The relevance of the solution was determined in collaboration with the users. During Conference Room Pilot workshops, they worked with a system prototype, testing dozens of real-world financial, tax, banking, and sales processes.
The workshops helped determine which needs could be met by the system standard and where customizations were necessary. As a result, time and budget were directed toward the areas critical for the launch.
Every change was evaluated based on its importance for the go-live, its cost, and its impact on the schedule. Some needs were addressed by the standard, some changes were redesigned, and others were planned for later. In the final phase, the scope included a dozen agreed-upon customizations and integrations with external systems. For Synevo, this meant consciously setting priorities and maintaining control over the scope of the investment.
Replacing SUNSystems eliminated Synevo's financial dependence on an unsupported solution. The transition to the new platform was prepared through functional, integration, and acceptance testing, as well as multiple data migration trials. The team verified process operations, their interdependencies, and data readiness for the new environment.
The test plan accounted for the organization's calendar: audits and year-end/month-end closings involved key users. Teams analyzed the schedule and test distribution to balance launch preparations with ongoing business responsibilities.
On May 4, 2026, Microsoft Dynamics 365 went live. Following the launch, the production migration, opening balance imports, and balance reconciliations were completed. The new environment covered essential financial, tax, banking, and sales processes.
Retcon provided organized HyperCare post-implementation support. Users were given a clear path for reporting issues, and consultants operated according to established responsibilities and priorities.
After the primary HyperCare period, knowledge and materials were transferred to the support team, and training on the ongoing maintenance of Dynamics 365 was conducted. This ensured the organization was well-equipped to maintain the solution after the implementation concluded.
